Sales Rep Guide

This guide is for sales representatives who support clinics, earn commissions on attributed orders, and maintain payout information for their parent sales organization.

After login you typically land on your Dashboard (/sales-rep/dashboard or the shared sales dashboard, depending on your account).

Invite clinics to your book of business

  1. Open your Dashboard.
  2. Click Invite Member.
  3. Set Invitee type to Buyer.
  4. Enter the buyer’s organization name in Target Name (for example, Meridian Research Group).
  5. (Optional) Enter Organizational Markup % (Optional) to lock in your margin when they finish registration. Leave 0 if your sales organization will set pricing later.
  6. Click Generate link and send the link to your buyer contact securely (email or your usual onboarding process).
  7. When they register through the link, they are associated with your territory so orders and commissions attribute correctly.

Organizational Markup % (optional)

The invite window includes Organizational Markup % (Optional) above Generate link.

  • Benefit for you: The buyer’s account can inherit your chosen markup as soon as onboarding completes, so you do not have to chase a separate pricing setup for every new clinic.
  • Invisible to the buyer: They never see this percentage during registration. It does not appear on any onboarding step, confirmation message, or profile screen.

If you are unsure of the right margin, leave the field at 0 and coordinate with your org administrator on standard rates.

TIP

If you do not see Invite Member, refresh the Dashboard so your permissions finish loading, then try again.

Deal Maker — optional VIP offers

To give a clinic a one-time percentage discount:

  1. Go to Deal CenterDeal Maker.
  2. Select the clinic from the list.
  3. Enter a discount within your organization’s allowed maximum.
  4. Share the generated coupon code with the clinic so they can apply it in the cart.

This does not replace inviting the clinic — use Invite Member first so they have a wholesale account.


Commission ledger — Total Earned vs. Pending

Open AnalyticsCommission ledger to see your payout activity.

At the top of the page you will see two summary cards:

CardMeaning
Available payoutFunds that have cleared and are ready for payout after your organization’s approval process.
Pending clearanceEarnings still waiting on order settlement or policy holds before they move to available.

Below the summaries, the Payout ledger table lists individual lines grouped by order. Expand an order row to see each payout line, status, and amount.

  • Lines tagged My Cut are your personal commission on that order.
  • Lines tagged Downline relate to activity in your broader network (your organization sees these for approval).

When you are ready to request movement of cleared funds, use Request payout (your parent organization and BioTide processes handle the actual remittance).


Secure payout details for your parent organization

Your sales organization needs accurate instructions to pay you. Only you (and authorized org admins) should enter this information.

  1. Go to AccountProfile settings.
  2. Find the Secure Payout Details section.
  3. Choose a payout method:
    • ACH / Wire Transfer — enter bank name, account number, and routing number.
    • Mailed Check — enter the payee name and full mailing address.
  4. Click Save settings at the bottom of the page.

Your details are stored securely so finance staff on the Commission ledger can use View Payout Info when processing approved payouts — without you sending banking information over email or chat.

WARNING

Sales reps cannot change organization-wide markup or bulk discount rules. Those settings belong to your parent sales organization. If pricing looks wrong for a clinic, contact your org administrator.


Day-to-day tips

  • Use Catalog to reference products and pricing tiers when speaking with clinics (your clinics shop at their own account prices on Catalog in the buyer portal).
  • Check Orders for recent activity in your network when following up with a clinic.
